You’re short on time, just like the rest of us. Sometimes your days seem overflowing with tasks you can’t possibly complete.

Yesterday I talked about the need to take a day off, but what about the days where you have to work? How do you make sure you’re meeting your obligations and fulfilling your responsibilities?

Riding instructors need to schedule themselves just like every other professional. If you rely on memory to tell you where you need to be, and when, you’re going to wind up disappointing a client. I guarantee it.

And so, today’s Farm Freebie: Riding Instructor Schedule(s)

I’ve prepared three basic scheduling templates that you can adapt to your own needs. I’m giving them to you in MS Word format so you can customize them to your heart’s content.

Single Riding Instructor Schedule: Calendar Format

This is perhaps my favorite type of riding instructor schedule because it allows you to fill in more than just your riding lessons. If you also train horses or offer other services, you can add those to the calendar.

To use the calendar format schedule, just fill in the month, year and dates on the calendar. Then print it out and carry it with you so you can write down your responsibilities on each day.

Single Riding Instructor Schedule: Micromanager

If you’re one of those people who needs to know what you are doing every minute of the day, the Micromanager is definitely for you. This riding instructor schedule will use more paper than the calendar format, but it will also keep you more organized.

Print out the Micromanager every morning, then fill in the template with your appointments. If a block of time is occupied by something other than a riding lesson, just write it down in the “Notes” section rather than in the riding instructor boxes.

This format is also unique because it allows you to list the riders you are teaching during each lessons as well as the horses they will ride. This riding instructor schedule can make billing your clients much easier.

Multiple Riding Instructor Schedule: Color-Coded

Color-coding is essential when you are preparing a riding instructor schedule for multiple professionals. This template is excellent for horse business owners who employ several riding teachers. Print it out each day and hand copies to all your teachers or post it in a common area.

Everyone will know who is doing what. Plus, your riding instructors will be able to coordinate with each other, and none will try to use the same horse/equipment at the same time. Keeps everything streamlined and hassle-free.

I use a color coded calendar because I’m a one woman business. I have a working student who does some chores, but the rest is up to me! My categories for my calendar are: boarder lessons/services, school horse lessons, off site teaching, horse daily activities (farrier, vet, wrap, etc.), and then there are “other things” which is where I put personal things that I need to remember and/or have scheduled. This way I can also see at a glance the profitability of a day — more school horse/boarder lessons = more income. iCal is my friend. :-)
